Chapter 1. Generate Reports


If you would like a batch of reports emailed to you as a CSV or Excel file, access the Generate Reports option.

Section 1. Set Up Recipients

Before you can send reports, you need to create a “white list” of valid email address. Email addresses get added to your recipient “white list” by first sending approval emails. Owners of the email have to first affirmatively opt in.  This helps prevent reports being mistakenly sent to the unintended due to typos.

1) Setting Up and Managing Your Recipients

Tap Recipients. In the Enter a new email field, enter an email of a recipient you want to request an opt in response. Click Add.

After clicking Add, TouchBistro will send the recipient an opt in request and add the email to the white list as inactive.

If the recipient reports not getting the email you can click Resend to resend the opt-in request.

The recipient will get an opt-in request and needs to click the Click here to confirm link to active their membership on the white list.

Once the recipient confirms, Cloud will make their status active. You can remove the white listed member at any time by clicking the X next to his/her email address.

Section 2. Select Your Reports

Select which reports you want part of the CSV/Excel file.

Section 3. Specify Time Frame and Format

Click Time frame to select if you want to create a one-off report for a specified data range or a regular report. Click Specific Date Range to create a one-off report. Click Rolling Report to create a regularly scheduled, recurring report.

Section 4. Specific Date Range

Click on the Start and End Dates fields to select the date range.  Format can be either CSV or an Excel format (XLSX).

Section 5. Select Email Recipients

Email defaults to the email associated with your TouchBistro profile. However, you can add additional emails.

Click on the Add Authorized e-mail addresses field. TouchBistro will present you with all active emails from your white list as options for inclusion. Only emails on the white list will be available for adding to this field. You cannot manually add non white-listed emails.

Click Generate Report to send it to the email(s).

Chapter 2. Rolling Report

If you selected Rolling Report because want a recurring report, first click on the Frequency field. If you select either Daily or Monthly, use the Start and End of Day fields to select when your day starts and ends. For example, if you start service at 9 am and end service at 9 am, select 9 am and 7:59 am. If you select Weekly, you have the additional choice to select when your week starts.

By default, Cloud will use the service times you set up under Cloud’s Settings page.

Chapter 3. Manage Reports

You can view your recurring reports by clicking Manage Reports. If you wish to stop a recurring report, click the X button.

Click Failed Jobs to see if any of your reports had issues or problems when sending.
