Setting Up and Using the Vantiv Payment Gateway (VX 680 PIN Pad)

Chapter 1. For Administrators and Servers

This document will guide you through setting up a Vantiv VX 680 PIN pad for integrated and non-integrated mode payment modes. As well, it show you how to process payments with a credit card using your hardware.

Chapter 2. Setting Up a Vantiv VX 680 PIN Pad as an Integrated Payment Processor

The VX 680 can only be used with TouchBistro Pro as an integrated payment processor. The VX 680 is for tableside ordering only. The VX 680 requires a table number input for proper processing. The VX 680 is not intended for use at the counter in register mode.

Note: It’s very important that your tables you created during your Floor Plan setup are numbered 2 and above. They cannot be given alphabetical table names.

Section 1. Connecting your VX 680 PIN Pad to Your Wi-Fi Network

Your network name will be unique. It will not be called “TouchBistro HQ”

1. Before you start ensure your Wi-Fi network is on. Go to Settings | Wi-Fi. Note down the exact name of your Wi-Fi network. In this example, we’re going to connect the VX 680 to the TouchBistro HQ network.

2. If you do not see your VMAC screen, tap 5 on the PIN Pad.

3. Tap CommServer.

4. Tap the Setup icon.

5. Tap WiFi.

6. Tap WiFi Profile.

7. Tap Add Profile.

8. Enter your Wi-Fi network name exactly as it appears (including case) on your iPad’s Wi-Fi screen.

9. To enter your network name, you use both the keypad and the Aa icon to scroll through the letters and numbers associated with that key.

For example:

Tap the key on the keypad that contains the first letter or number in your Wi-Fi network name. In the pictured example, to enter a capital T, we would press 8 (TUV) and then the Aa icon to cycle to the capital T.

To enter the lower case o, tap 6 (MNO) and then the Aa icon several times to cycle to the lower case o.

Repeat this process for each letter and number in your network name. If you need to enter a space, press the 0 key and then the Aa icon to cycle to a blank.

10. Press OK on the PIN pad when you’ve properly entered the network name.

11. Tap WPA2-PSK.

12. Tap AES.

13. Enter the Wi-Fi password you use to access your network. This is the same password you entered on your iPad to access your Wi-Fi network. The password is entered in the same fashion as your network name.

14. Press OK on the PIN pad.

15. Tap Yes.

16. Tap Yes again.

17. Your VX 680 will report its updating your profile. This could take a minute or two.

18. Tap the CANC button on the PIN pad to return to the Wi-Fi status screen.

19. You should have bars. If you do not, ensure you’ve entered the correct Wi-Fi name and password.

Section 2. Connecting Your VX 680 to Your TouchBistro Pro Server

Now that your VX 680 “talks” to your Wi-Fi network, you need to get it to “talk” to TouchBistro Pro Server.

1. Launch Pro Server on your Mac Mini.

2. Write down the Pro Server’s IP address and port number. The port number follows the colon. You will need these numbers later for the VX 680. In this example, the IP is 10.0.1.29 and the port number is 1137. Your IP address will likely be different. As well your port number may be different.

3. From your main screen, press 2 on the PIN pad.

4. Tap Setup.

5. Tap RPOS Config.

6. Tap Edit.

7. From the New screen use the key pad to enter the Pro Server IP address your wrote down in Step 2. So if the IP is 10.0.1.29, press 1 and 0 on the keypad.

8. To get the dot, press 1 again.

9. Now tap the button to cycle through alpha alternatives until you reach the dot. It should take you three taps of to reach the dot.

10. Continue to enter the rest of the IP address, again using 1 and the key to enter the dot.

11. When you’ve entered the IP address in, press OK on the PIN pad.

12. Tap Next.

13. Tap Edit on the RPOS Port screen.

14. Retrieve the port number you wrote down in Step 2. Increase this port number by 1 and enter the new number using the PIN pad. For example, if your Pro Server port number was 1337, enter 1338.

15. Press OK on the PIN pad.

16. Tap Exit.

17. Tap OK.

18. From Setup screen, press on the PIN pad to return to the main screen.

Section 3. Getting Your Terminal ID

1. If you do not see your VMAC screen, tap 5 on the PIN Pad.

2. Tap Anyware.

3. Tap Next.

4. Tap Admin.

5. Enter the default password 123456 using the PIN pad.

6. Press OK on the PIN pad. Do not try to tap Next.

7. Tap Next.

8. Tap Setup.

9. Tap Terminal.

10. Tap Next. Note, tap the Next on the far right. Not the Next on the bottom left.

11. Write down the Terminal ID displayed.

12. Press OK on the PIN pad.

13. Tap the Star * key to return to the main screen.

Section 4. Configuring Your VX 680 Terminal in TouchBistro

1. Open your restaurant on TouchBistro.

2. Log in as Admin.

3. Tap Admin | Admin Settings in the top right hand corner.

4. Tap Payment Gateways under Settings.

5. Tap Vantiv to enable it as your payment gateway. Ensure there’s a checkmark Vantivsetupimage004 Setting Up and Using Vantiv Payment Gatewayin the Vantiv cell row.

6. Tap Setup.

7. Tap Add Terminal.

8. Enter the Terminal ID your wrote down in Getting Your Terminal ID.

9. Tap Add Terminal.

10. Tap Save or tap Add Terminal to add additional terminals.

Chapter 3. Adding Staff Profiles

1. If you are on the VMAC screen, tap Anyware to access the Vantiv Anyware user screen.

2. Tap Next.

3. Tap Admin.

4. Use the key pad to enter your manager password. By default it’s 123456.

5. Press OK on the PIN pad. Do not try to tap Next.

6. Tap Next.

7. Tap Setup.

8. Tap Server Setup.

9. Tap Add Server.

10. Use the PIN pad to enter a Server ID number like 333.

11. Press OK on the PIN pad. Do not try to tap Next.

12. Make sure you write down the ID number you just entered.

13. Enter a 4 digit password with the PIN pad.

14. Press OK on the PIN pad. Do not try to tap Next.

15. Confirm the password and press OK on the PIN pad. Do not try to tap Next.

16. Make sure you write down the password number you just entered.

17. Use the PIN pad to enter the server’s name. Press the key on the keypad that contains the first letter. For example if the server’s name starts with B press 2 . Tap the button on the screen to cycle to the appropriate letter. The Server name only supports upper case.

18. Repeat this procedure until you’ve entered the server’s name.

19. Press OK on the PIN pad. Do not try to tap Next.

20. You will be alerted the sever ID was successfully added.

For maximum security, you should set up server profiles with their own login passcodes. You do not want anyone to be able to pickup the VX 680 and process credit cards. However, if you are finding the server login process time consuming, you have the option to turn off server login. See Disabling Waiter Login for steps on how to disable the VX 680 prompting for a server login.

Chapter 4. Using the VX680 at Tableside

1. Take the customer orders per usual.

2. Print the guest check for the table and give it to the patrons at the table.

3. When the customers want to pay, ensure you’ve exited the table and you’re on the floor plan. The table cannot be open your iPad screen or any iPad screen.

4. On the VX680 tap Purchase.

5. Use the keypad to enter your Server ID number.

6. Press OK on the PIN pad. Do not try to tap Next.

7. Use the keypad to enter your passcode number.

8. Enter the Table number. Refer to the floor plan for the number of the table you want to charge out.

9. Press OK on the PIN pad. Do not try to tap Next.

10. Double check the Amount figure is the same as the figure on the printed guest check.

11. You can also tap and hold on the table and select Print Preview to double check.

12. If the amount is correct, press OK on the PIN pad. Do not try to tap Next.

13. Follow the on-screen prompts.

14. The customer is presented with tip options. The customer should select one and follow the on-screen prompts.

15. For example, if the customer selects %, the customer should use the PIN pad to enter a percentage (e.g., 18%).

16. The VX680 may ask the customer to confirm the actual value of the tip. The customer should select Yes.

17. The customer should tap Yes to indicate the amount is OK.

18. The customer will then be prompted to swipe or insert his/her card (credit card, debit card, or gift card).

19. If the customer is prompted to enter a PIN, the customer should enter his/her PIN via the PIN pad and press OK on the PIN pad.

20. The VX680 will indicate the payment was approved and the customer should remove his/her card if it was inserted.

21. Finally the VX680 will prompt the customer to press OK on the PIN pad and hand back the unit.

22. Upon pressing OK, the VX680 will print out customer copy.

23. Return to the TouchBistro floor plan screen. Tap the table you just accepted payment for.

24. TouchBistro will mark the guest check as paid. Tap Close Table to close the table.

Section 1. Splitting a Bill

1. Take the customer orders per usual.

2. Tap Checkout.

3. Tap Split by Seating. TouchBistro will create individual guest checks.

4. Print the guest checks for the seats and give them to the patrons at the table.

5. Tap Back and then Restaurant to return to the floor plan.

6. When the customers want to pay, ensure you’ve exited the table and you’re on the floor plan. The table cannot be open your iPad screen or any iPad screen.

7. On the VX680 tap Purchase, enter your Server ID, Server Password, and table number. Refer to Using the VX680 at Tableside above for details on these steps.

8. The Purchase screen will now allow you to cycle through seats. Tap Next to advance to the next seat. Tap Prev to cycle back. Tap Slct to select which seat you want to process.

9. Follow the on-screen prompt and let the customer complete the payment.

10. Finally the VX680 will prompt the customer to press OK on the PIN pad and hand back the unit.

11. Upon pressing OK, the VX680 will print out customer copy.

12. You will be returned to the Vantiv Anyware screen.

13. Repeat the same login and processing steps as outlined above for each separate check that wants to pay by card.

14. Finally reopen the table and close it.

Chapter 5. Closing Your Batch

1. Tap Anyware.

2. Tap Next.

3. Tap Admin.

4. Enter your password (the default password is 123456) using the PIN pad.

5. Press OK on the PIN pad. Do not try to tap Next.

6. Tap Settlement.

7. Verify your figures are correct and press the OK button on the PIN pad to confirm.

8. Your PIN pad will transmit and close your batch.

Chapter 6. Testing Your Setup

1. Scroll to the bottom of your payment setup page.

2. Tap Test Payment Gateway.

3. Tap Untested next to each feature you support and follow the on-screen prompts.

Chapter 7. Troubleshooting

Section 1. Receiving a “Must Balance Now” Error

Your batch has not been closed for five days or more. You must close your batch.

Section 2. Receiving an “Out of Balance” Error

1. Ensure all your tables are closed.

2. Close your batch.

3. Log into www.Vantivpay.com and verify the batch close in on Real Time Credit Reporting page.

4. Return to your PIN pad and clear the batch from the terminal.

5. Return to the Admin screen (tap Anywhere > tap Next > tap Admin).

6. Enter your admin password.

7. Tap Next.

8. Tap Setup.

9. Tap Next.

10. Tap Clear Batch.

11. Select Yes.

If you are receiving this error persistently, it is an indication your PIN pads are losing connectivity and causing local and host totals to be out of sync. See Communication Issues below for how to resolve this.

Section 3. Communication Issues

1. If you are having communication issues, first ensure your Internet connection is on and you can access the outside Internet. You can check this via TouchBistro.

2. Verify your Wi-Fi signal strength is adequate for all sections of your venue. See this document for how to check for sufficient signal strength as well as how to extend your coverage if necessary.

3. If you’re still having communication issues after going through these steps, you may need to hard reboot your terminal(s). To do this simply pull the battery.

4. Flip the PIN pad. The battery is located in the bottom portions.

5. Press the tab and pull the battery up and back.

6. Remove the battery entirely for a few seconds and then place it back into the PIN pad.

Chapter 8. Setting Your Terminal for Standalone Non-Integrated Mode (TouchBistro Standard Solution)

The VX 680 can only be used as an integrated payment device with TouchBistro Pro. However, if you want to use it with TouchBistro Standard (one iPad solution), you need to set it for Standalone mode and use it as a non-integrated payment processor within TouchBistro.

9. Tap Next until you see Stand Alone Mode Off in the middle left. You need to tap next 26 times. Note, tap the Next on the far right. Not the Next on the bottom left.

10. Tap Edit.

11. Tap Next (on the far right).

12. Under New you will see “On”. Tap Slct.

14. You will be prompted to save changes, tap OK (not the OK PIN pad button).

15. The device will prompt you to restart.

After setting your VX 680 for standalone operation, you need to turn off waiter login.

10. When you see Server Mode Logon, tap Edit.

11. Under New you will see “None”. Tap Slct.

12. Your Server Mode will not be set to None.

After a restart your terminal can now be used without prompting a server login.

Chapter 9. Managing Gift Cards

Before you begin, ensure you’ve signed up with Mecury’s gift card program. If you have not, contact your Vantiv representative to add this feature.

Unlike swipers, where gift cards are activated and topped up via TouchBistro, if you are using the VX680 you need to use the VX680 device.

1. From the purchase screen, tap Gift.

2. Tap either Balance (to check the balance), Issue (to activate and add a balance to a new card), or Reload (add funds to an existing card).

3. Follow the on screen prompts.

Issued gift cards can now be used like any other card payment type offered at tableside. Note: TouchBistro does not track gift cards and outstanding balances. Consult with Vantiv how to access their management portal.
